1. Who We Are (Data Controller)
This testing database is operated under the GridLab brand for use by sim racing communities. It is a community tool provided to help teams organise and analyse their testing data.
GridLab is a trading name of AJ Tech Consulting Services Ltd, a company registered in England and Wales (No. 17193930). Registered office: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
AJ Tech Consulting Services Ltd is the data controller responsible for your personal data and is registered with the UK Information Commissioner’s Office (ICO), registration reference ZC138626.
2. What Data We Collect
- Account details: Username, display name, and a hashed password (we cannot see your actual password).
- Testing data: Lap times, fuel figures, tyre data, confidence ratings, and notes you choose to log.
- Session data: A standard PHP session cookie to keep you logged in. This is deleted when you log out or close your browser.
- Preferences: Your chosen display units (PS/BHP, kg/lbs, kgfm/lb·ft) and theme preference (stored in your browser).
3. What We Don’t Collect
- No email addresses or personal contact information.
- No tracking cookies, analytics, or third-party scripts.
- No IP address logging beyond standard server access logs.
- No data is shared with or sold to any third party.
4. How Data Is Stored
- All data is stored on a private server hosted in the United Kingdom.
- Each team has its own isolated database — teams cannot see each other’s data.
- Passwords are stored using industry-standard bcrypt hashing.
- The server uses HTTPS encryption for all connections.
5. Lawful Basis for Processing
Under the UK GDPR, we process your personal data on the following lawful bases:
- Contract: We process your account details and testing data because it is necessary to provide the platform you (or your team) have asked us to operate.
- Legitimate interests: We process limited technical data (such as server access logs and the authentication session cookie) to keep the service secure, available, and functioning correctly.
- Consent: Where you submit data through an optional form or opt in to communications, we rely on your consent, which you may withdraw at any time.
6. Processors and Third Parties
- Hosting: The platform is hosted on private infrastructure operated by AJ Tech Consulting Services Ltd in the United Kingdom.
- Email delivery: Transactional emails (such as verification and password-reset messages) are sent via Resend, acting as our processor under a data-processing agreement.
- We do not sell your data and we do not share it with third parties for marketing.
7. International Transfers
Your data is stored in the United Kingdom. Where a processor (for example our email provider) processes data outside the UK, that transfer is protected by appropriate safeguards such as the UK International Data Transfer Agreement or equivalent contractual clauses.
8. Data Retention
Your data is kept for as long as the GridLab platform remains active. If you wish to have your account or test data removed, contact your team administrator.
9. Your Rights
- You can change your password at any time via the Settings page.
- You can request deletion of your account and data by contacting an administrator.
- You can view all data stored against your account through the application itself.
- Under the UK GDPR you also have the rights of access, rectification, erasure, restriction, objection, and data portability.
10. Complaints to the ICO
If you are unhappy with how we have handled your personal data, you have the right to complain to the UK Information Commissioner’s Office (ICO). You can contact the ICO at ico.org.uk or by telephone on 0303 123 1113. We would, however, appreciate the chance to address your concerns first.
11. Changes
This privacy policy may be updated from time to time. Continued use of the site constitutes acceptance of any changes.
